Understanding Outward Delivery Note

An outward challan is a record of the delivery of goods from a company to a customer or another business. It includes the details of the goods. It serves as a proof that the goods have been sent out and can be tracked.

 

Settings

Navigate to the left menu > Settings > Operation.

Under the Outward Delivery Note tab, check the boxes Allow Adding Price in Outward Delivery Note and Display Product Details Along with Page Counter in Toner Cartridge Outward Delivery Note.

Click on Update.

 

Creating an Outward Challan

Navigate to Left Menu > Operation > Outward Challan.

Click on the plus button on the top right hand corner.

The Outward Challan form will open. Enter the details in the mandatory fields.

Click on Save.

 

Viewing an Outward Challan

Navigate to Left Menu > Operation > Outward Challan.

All the outward challans will be displayed in the index page.

There are two ways to display the challan Listing – by using the filter option.

1.Outward Challan – Challan-wise view.

2.Outward Challan – Serial number wise view.

Note: There are two ways in which it is created, first is through sales order and the second is by entering it manually.

Understanding Goods Receipt Notes

A goods receipt note is a document recorded by a company of the goods they receive from their vendor. It contains detailed information of the goods received. In a nutshell, it is an acknowledgement that the company has received the goods they have ordered.

 

Settings

Navigate to the left menu > Settings > Operation.

Under the Outward Delivery Note tab, check the box Quality Check Feature.

Click on Update.

 

Creating a GRN Goods Receipt Note

Navigate to Left Menu > Purchase > Purchase Order.

Look for the desired Purchase Order to convert it to contract. 

Click on the Accept button under the Actionable Column.

Now this appears under the Accepted option of the Purchase Order dropdown.

Scroll to the right and click on the Convert to Contract option from the Action dropdown menu.

Open the Vendors Contract and enter the Credit days given to the vendor and its Contract Period.

Click on Save & Exit.

Once the PO is contracted, you can see it under the Contracted option of Purchase Order dropdown.

Scroll to the right and click on the GRN option from the Action dropdown menu.

The GRN form will open up. Click on the plus button in the top right hand side.

Enter the details in the mandatory fields like serial number for serial numbered devices or quantity of the device without serial number.

Note: Serial numbers can be entered manually or by scanning the barcode or by copying and pasting.

Click on Save and Exit.

After saving the grn, the Status of the device/ product will change to Dispatched. 

For confirming the GRN, scroll to the right of the dispatched product and click on the GRN option from the Action dropdown menu.

The GRN page will open, scroll to the right and click on the View option from the Action dropdown menu. 

Check for all the line numbers of the device(s). Make changes if necessary.

Click on the Confirm button.

Once confirmed, the device will show under Inventory and the GRN is completed. Also, the inward challan number will be generated. 

Note: The challan can be printed after it is generated.

Understanding Logistics Vendor

For any organization dealing in big business, logistics management is very necessary. AntMyERP helps you to maintain the records of all the logistic companies you deal with.

 

Permissions

Navigate to Settings > User Roles.

Select the employee you want to give logistics and supply Permission to and scroll to the right.

Select Edit option from the Action dropdown menu.

Enable the permissions Manage Logistics Company List, Manage Logistics Company Create, Manage Logistics Company Edit, Manage Logistics Company Delete, and Manage Logistic.

Click on Save.

 

Creating a Logistics Vendor

Navigate to Left Menu > Operation > Logistics.

Click on the plus button on the top right hand corner.

The logistics vendor form will open. Fill in all the mandatory details. 

Note: You can also bulk upload by using the Import file feature. Refer to the Bulk Import help doc for reference.

Click on Save & Exit.

Note: During a delivery process, you can select the name of the logistic company.

Note: Whenever we create a challan (inward or outward) or in a delivery register, when we select the option “Courier”, there comes a field where we need to add the Logistic company’s details.

 

Bonus Management

Bonus

A bonus is an extra reward, often monetary, given on top of regular compensation for an exceptional performance. It can be in the form of cash, stock options, or other perks depending on the company’s policies and practices.

 

Adding bonus for the employees

Navigate to the Left Menu > HR > Team.

Go to the Employee Name > Action > Edit Official Profile

All the Employee details – mandatory fields need to be filled, while editing the details will be visible in the form. Do not edit any details unless it’s required to be edited.

Enable Bonus of the Employee by selecting Yes

Amount: Is the Bonus amount fixed that is payable to this employee

% of Gross: Enter the percentage of the Bonus amount to be calculated on the Gross Salary

% of Basic: Enter the percentage of the Bonus amount to be calculated on the Basic Salary

Bonus Payable: In what duration the Bonus has to be calculated and paid

Monthly : Every month the Bonus voucher to be generated

Defined Month: Select the month in which the Bonus amount is calculated and the Bonus voucher is generated

After entering all the bonus details, click Save and Exit.

Note: Bonus entered in the Employee Official Profile will be visible in Main module Human Resources > Reports > Approval Bonus

Bonus will be automatically generated as per the Bonus rule of that Employee.

Alternatively : You can add the similar details from Left Menu > Settings > Organization Profile > Team > Edit Official Profile

 

Bonus: View and Approvals 

Navigate to Left Menu > Human Resource > Reports 

Click on Bonus Approvals

Details: This page gives the details of the Employee’s whose Bonus are defined as per the settings done in Employee Official Profile. You can select the Employee with check mark and either Create Voucher or reject the Bonus

Note: Bonus will be visible only after the salary is generated of that relevant month

Summary: This page gives the details of the Employee’s whose Bonus are approved 

Reject: This page gives the details of the Employee’s whose Bonus that are rejected by the authorized person

 

Approved Bonus View

Navigate to Left Menu > Finance > Expense Voucher

After approval, Voucher is generated and it is visible in Pending Payments

Click on Payment > Complete the payment Process

Overtime

An Overtime refers to the extra hours an employee works beyond their regular working hours, as defined by their employer

 

Adding overtime for the employees

Navigate to the Left Menu > HR > Team.

Go to the Employee Name > Action > Edit Official Profile

 

Navigate to the Left Menu > Settings > Organization Profile > Team.

All the Employee details – mandatory fields need to be filled, while editing the details will be visible in the form. Do not edit any details unless it’s required to be edited.

Enable Overtime of the Employee by selecting Yes

Amount: Is the Overtime amount fixed on per hour basis

% of Gross: Enter the percentage of the Overtime amount to be calculated on the Gross Salary

% of Basic: Enter the percentage of the Overtime amount to be calculated on the Basic Salary

After entering all the Overtime details, click Save and Exit.

Note: Overtime entered in the Employee Official Profile will be visible in Main module Human Resources > Reports > Overtime

Overtime will be automatically generated as per the Overtime rule including Shift Management of that Employee.

Alternatively : You can add the similar details from Left Menu > Settings > Organization Profile > Team > Edit Official Profile

 

Overtime: View and Approvals 

Navigate to Left Menu > Human Resource > Reports 

Click on Overtime 

Details: This page gives the details of the Employee’s whose Overtime are defined as per the settings done in Employee Official Profile. You can select the Employee with check mark and either approve or reject the Overtime (Unable to view the changes that i’ve made)

Note: Overtime will be visible only after the salary is generated of that relevant month

Summary: This page gives the details of the Employee’s whose Overtime are approved 

Reject: This page gives the details of the Employee’s whose Overtime that are rejected by the authorized person

 

Approved Overtime View

Navigate to Left Menu > Finance > Expense Voucher

After approval, Voucher is generated and it is visible in Pending Payments

Click on Payment > Complete the payment Process
