Bonus

A bonus is an extra reward, often monetary, given on top of regular compensation for an exceptional performance. It can be in the form of cash, stock options, or other perks depending on the company’s policies and practices.

 

Adding bonus for the employees

Navigate to the Left Menu > HR > Team.

Go to the Employee Name > Action > Edit Official Profile

All the Employee details – mandatory fields need to be filled, while editing the details will be visible in the form. Do not edit any details unless it’s required to be edited.

Enable Bonus of the Employee by selecting Yes

Amount: Is the Bonus amount fixed that is payable to this employee

% of Gross: Enter the percentage of the Bonus amount to be calculated on the Gross Salary

% of Basic: Enter the percentage of the Bonus amount to be calculated on the Basic Salary

Bonus Payable: In what duration the Bonus has to be calculated and paid

Monthly : Every month the Bonus voucher to be generated

Defined Month: Select the month in which the Bonus amount is calculated and the Bonus voucher is generated

After entering all the bonus details, click Save and Exit.

Note: Bonus entered in the Employee Official Profile will be visible in Main module Human Resources > Reports > Approval Bonus

Bonus will be automatically generated as per the Bonus rule of that Employee.

Alternatively : You can add the similar details from Left Menu > Settings > Organization Profile > Team > Edit Official Profile

 

Bonus: View and Approvals 

Navigate to Left Menu > Human Resource > Reports 

Click on Bonus Approvals

Details: This page gives the details of the Employee’s whose Bonus are defined as per the settings done in Employee Official Profile. You can select the Employee with check mark and either Create Voucher or reject the Bonus

Note: Bonus will be visible only after the salary is generated of that relevant month

Summary: This page gives the details of the Employee’s whose Bonus are approved 

Reject: This page gives the details of the Employee’s whose Bonus that are rejected by the authorized person

 

Approved Bonus View

Navigate to Left Menu > Finance > Expense Voucher

After approval, Voucher is generated and it is visible in Pending Payments

Click on Payment > Complete the payment Process

Overtime

An Overtime refers to the extra hours an employee works beyond their regular working hours, as defined by their employer

 

Adding overtime for the employees

Navigate to the Left Menu > HR > Team.

Go to the Employee Name > Action > Edit Official Profile

 

Navigate to the Left Menu > Settings > Organization Profile > Team.

All the Employee details – mandatory fields need to be filled, while editing the details will be visible in the form. Do not edit any details unless it’s required to be edited.

Enable Overtime of the Employee by selecting Yes

Amount: Is the Overtime amount fixed on per hour basis

% of Gross: Enter the percentage of the Overtime amount to be calculated on the Gross Salary

% of Basic: Enter the percentage of the Overtime amount to be calculated on the Basic Salary

After entering all the Overtime details, click Save and Exit.

Note: Overtime entered in the Employee Official Profile will be visible in Main module Human Resources > Reports > Overtime

Overtime will be automatically generated as per the Overtime rule including Shift Management of that Employee.

Alternatively : You can add the similar details from Left Menu > Settings > Organization Profile > Team > Edit Official Profile

 

Overtime: View and Approvals 

Navigate to Left Menu > Human Resource > Reports 

Click on Overtime 

Details: This page gives the details of the Employee’s whose Overtime are defined as per the settings done in Employee Official Profile. You can select the Employee with check mark and either approve or reject the Overtime (Unable to view the changes that i’ve made)

Note: Overtime will be visible only after the salary is generated of that relevant month

Summary: This page gives the details of the Employee’s whose Overtime are approved 

Reject: This page gives the details of the Employee’s whose Overtime that are rejected by the authorized person

 

Approved Overtime View

Navigate to Left Menu > Finance > Expense Voucher

After approval, Voucher is generated and it is visible in Pending Payments

Click on Payment > Complete the payment Process

Issuing Assets to Employees

Issuing assets to employees involves providing company-owned items like laptops or mobile devices for work. Employees are responsible for proper use and care as per their company guidelines. Assets must be returned when no longer needed or when you are resigning from the company

 

Issuing an Asset to Employee 

Issuing an asset in AntMyERP is easy! You just need to enter the important info and product details under the name of the employees to whom you are issuing the asset.

 

Issue Asset to the employees from the Team Page

Navigate to the Left Menu > HR > Team.

Go to the Employee Name > Action > Issue Asset

Select the Employee name, Product Name, Serial Number, Remark

( Please note that product should be addedin the Fixed asset and  the price and entry will reflect automatically as per the added in fixed assest and  purchase price) 

After entering all the details, click Save.

Note: System will not allow you to terminate the employees unless the asset has been returned by the employee to the organization

Alternatively : You can add the similar details from Left Menu > Settings > Organization Profile > Team > Employee Name > Action > Issue Asset

 

Acknowledgement of the Issue Assets

Navigate to the Left Menu > HR > Team.

Go to the Employee Name > Action > Issue Asset

Assets issued to the employees can be acknowledged inside the form by selecting the name of the team member who has acknowledged the assets. This field is labeled as Issued by

Alternatively : You can add the similar details from Left Menu > Settings > Organization Profile > Team > Employee Name > Action > Issue Asset

 

View Assets Issued to Employees

Navigate to the Left Menu > HR > Team.

Go to the Employee Name > Action > Issue Asset

Asset issued to the employees can be viewed by the person who has the admin or My HR permission

Alternatively : You can add the similar details from Left Menu > Settings > Organization Profile > Team > Employee Name > Action > Issue Asset

 

Returning of the Assets Issued

Navigate to the Left Menu > HR > Reports > Assets to Employee

Locate the name of the employee from whom the asset has to taken back

Click on Action > Return Asset

Fill in the necessary information and Save

Alternatively:

Navigate to the Left Menu > HR > Team.

Go to the Employee Name > Action > Issue Asset

At the bottom the list of Asset that are issued to this employee will be visible

Click on Return tab, it will redirect you to the Return Asset form

Fill in the necessary information and Save

Asset issued to the employees can be viewed by the person who has the admin or My HR permission

Alternatively : You can add the similar details from Left Menu > Settings > Organization Profile > Team > Employee Name > Action > Issue Assets

 

Statutory Compliance

Introduction – Statutory Compliance

Statutory compliance in HR involves adhering to legal regulations governing employment practices. It ensures organizations operate within the law, avoid penalties, and protect employee rights, with HR playing a central role in enforcement and guidance.

 

Adding a Statutory Compliance

Adding Statutory details in AntMyERP is a simple process! You need to enter the important information into one place. Here’s what you do.

 

Add Employee Provident Fund (EPF)

Navigate to the Left Menu > Settings > 3rd icon on left side > HR > Statutory

Locate the EPF (Employee Provident Fund) in the statutory list and click on the Edit option from the Action dropdown menu.

Enter all mandatory fields along with all the details related to the Employee Provident Fund

After entering all the details, click Save or Save & Exit    

Permission: This feature is user permission defined. If you have permission, you can use this or else ask the administrator of your office to activate the permission for you.

 

Add Employee State Insurance (ESI)

Navigate to the Left Menu > Settings > 3rd icon on left side > HR > Statutory

Locate the ESI (Employee State Insurance) in the statutory list and click on the Edit option from the Action dropdown menu.

Enter all mandatory fields along with all the details related to the Employee Provident Fund

After entering all the details, click Save or Save & Exit    

Permission: This feature is user permission defined. If you have permission, you can use this or else ask the administrator of your office to activate the permission for you.

 

Add Professional Tax (PT)

Navigate to the Left Menu > Settings > 3rd icon on left side > HR > Statutory

Locate the PT (Professional Tax) in the statutory list and click on the Edit option from the Action dropdown menu.

Enter all mandatory fields along with all the details related to the Employee Provident Fund

After entering all the details, click Save or Save & Exit    

Permission: This feature is user permission defined. If you have permission, you can use this or else ask the administrator of your office to activate the permission for you.

 

Managing: Active and Inactive

If you need to discontinue the usage of  the EPF or ESIC or PT  for any reason through this system, you can easily make them Inactive. Just go to their profile, change the status to Inactive,’ and Save the changes.

Navigate to the Left Menu > Settings > 3rd icon on left side > HR > Statutory

Locate the EPF or ESIC or PT in the statutory list and click on the Edit option from the Action dropdown menu. Select Inactive, save the changes

If you need to start enabling EPF or ESIC or PT, simply go through the same process and mark them as Active.’ Then you can start with the transaction.

Understanding Payroll

Payroll refers to the total amount of money paid by a company to its employees as a salary. Managing payroll involves calculating employees’ earnings, deductions, and ensuring timely payment.

 

Creating a Payroll Settings

To start with the payroll settings, ensure that the Employee’s are added to the system. 

Settings can be done in following ways:

 

HR Preferences

Navigate to the Left Menu > Settings > 3rd Icon on the menu > HR > HR Preferences

Mark the Check box

 

HR Rules

Navigate to the Left Menu > Settings > 3rd Icon on the menu > HR > HR Rules

Enter the current Financial year

Check mark if required

 

Statutory

Navigate to the Left Menu > Settings > 3rd Icon on the menu > HR > Statutory

 

Others

 

Salary Earnings

Navigate to the Left Menu > Settings > 3rd Icon on the menu > HR > Others > Salary Earnings

Click the + Icon button on the top right corner of the page.

Create the earnings label 

Edit or Delete the Salary Earnings

Navigate to the Left Menu > Settings > 3rd Icon on the menu > HR > Others > Salary Earnings

Locate the label that is required to be edited or deleted

Edit: Make the necessary changes to the label

Delete: Make the necessary changes to the label

Note: If a specific label has completed any transactions in salary,, it cannot be deleted.

 

Salary Deductions

Navigate to the Left Menu > Settings > 3rd Icon on the menu > HR > Others > Salary Deductions 

Click the + Icon button on the top right corner of the page.

Create the Salary deductions label 

Edit or Delete the Salary Deductions

Navigate to the Left Menu > Settings > 3rd Icon on the menu > HR > Others > Salary Deductions 

Locate the label that is required to be edited or deleted

Edit: Make the necessary changes to the label

Delete: Make the necessary changes to the label

Note: If a specific label has completed any transactions in salary,, it cannot be deleted.

 

Salary Sub-Deductions

Navigate to the Left Menu > Settings > 3rd Icon on the menu > HR > Others > Salary Sub-Deductions 

Click the + Icon button on the top right corner of the page.

Create the Salary Sub-deductions label

Edit or Delete the Salary Sub-Deductions

Navigate to the Left Menu > Settings > 3rd Icon on the menu > HR > Others > Salary Sub-Deductions 

Locate the label that is required to be edited or deleted

Edit: Make the necessary changes to the label

Delete: Make the necessary changes to the label

Note: If a specific label has completed any transactions in salary, it cannot be deleted.

 

Salary Shift Days

Navigate to the Left Menu > Settings > 3rd Icon on the menu > HR > Others > Shift Days

Enter the Shift name and the relevant Week day type as per your organization

 

Salary Shift Timings

Navigate to the Left Menu > Settings > 3rd Icon on the menu > HR > Others > Shift Timings

Enter the Shift timings and Shift Name as per your organization

 

Late Mark Absent: Select the number of days, these numbers will be equivalent to one absenteeism

Half Mark: Select the number of days, these numbers will be equivalent to one absenteeism

Note: 

  • You can create multiple shift timings if there is more than one shift.
  • Map these shift timings with the Employee by navigating to the  Left Menu > Settings > Organization Profile > Team.You will land in Team list. Locate the Employee in the Team list and click on the Edit Official profile option from the Action dropdown menu. Alternatively you can Right Click on the Employee whom you want to Edit Official profile. Make the necessary changes to the Employee Shift Timings.

 

Leave Types

Navigate to the Left Menu > Settings > 3rd Icon on the menu > HR > Others > Leave Types

 

Salary Components

Navigate to the Left Menu > Settings > 3rd Icon on the menu > HR > Salary Components

In this page, all Earnings and Deductions will be displayed

Edit the Salary Earnings 

Navigate to the Left Menu > Settings > 3rd Icon on the menu > HR > Others > Salary Components > Earnings 

Locate the Earnings to edit

Ensure to activate the Earnings that are applicable

If any Earnings is not required, you can Inactivate it

Enter all mandatory fields along with all the relevant details 

 

Pay Schedule

Navigate to the Left Menu > Settings > 3rd Icon on the menu > HR > Others > Pay Schedule

Enter all mandatory fields along with all the relevant details 

Click on Generate Salary when you would like to generate salary manually. Alternatively, it will generate salary as per the details mentioned in the fields 

Note: Once the salary is generated, it will be visible on the HR > Salary Detail Register > Salary Report

 

Salary Report

Pending Salary

Navigate to the Left Menu > HR > My HR > Salary Detail Register > Salary Report > Pending Salary

Check all the necessary details of the employees before generating the salary 

Click on Action 

 

Generate Slip

Navigate to the Left Menu > HR > My HR > Salary Detail Register > Salary Report > Action > Generate Slip

Generate the salary slip

Note: Once the salary slip is generated, it can not be edited or deleted!

 

Delete the Salary 

Navigate to the Left Menu > HR > My HR > Salary Detail Register > Salary Report > Action > Delete Salary

Delete the Salary 

Note: Before generating the salary slip, it can be deleted!

 

Preview

Navigate to the Left Menu > HR > My HR > Salary Detail Register > Salary Report > Action > Preview

Preview the Salary slip before generating the salary

Note: Before generating the salary slip, it can be previewed here for better understanding!

 

Exporting the Salary Pending Report 

Navigate to the Left Menu > HR > My HR > Salary Detail Register > Salary Report > Pending Salary

You will lands in Pending Salary Page

Now go to the Top Right corner navigate to Down arrow > Download Pending Salary 

All your salary details are exported from your AntMyERP to CSV. file

 

Generated Salary

Navigate to the Left Menu > HR > My HR > Salary Detail Register > Salary Report > Generated Salary

Locate the employees whose generating the salary and view the salary slip form the Action

Note: Generated salary cannot be edited or deleted 

 

Exporting the Salary Generated Report 

Navigate to the Left Menu > HR > My HR > Salary Detail Register > Salary Report > Generated Salary

You will lands in Generated Salary Page

Now go to the Top Right corner navigate to Down arrow > Download Generated Salary 

All your salary details are exported from your AntMyERP to CSV. file
