Understanding Email Settings

An external SMTP (Simple Mail Transfer Protocol) server can be set up to send emails through AntMyERP. This can be helpful if you want to use your own email infrastructure or if you need an external SMTP server to better meet your email needs. This is how you set it up:

 

Settings

Navigate to the left menu > Settings.

Click on Settings

Under the Preferences settings, Check the Active Email and Manually Email boxes.

Select these.

Click on Update.

 

Configure the Email SMTP Setting

Navigate to the Left Side > Settings > Templates

Go to the Email SMTP Setting

Fill in Host and Port Field and other mandatory fields. 

Click Update. 

 

Note: Test the email by clicking on the test Email. If this testing process is passed, the emails will start going from the system. 

 

Note: Similarly, to send the manual email, select the manual option for sending out manual emails from the system. 

 

Note: With these steps completed, AntMyERP will be configured to send auto emails, including Approval Authorization emails.Please remember that accurate SMTP settings are crucial for successful email delivery.

Understanding SMS

A business can set an SMS alert for all the notifications to be sent via text messages. 

This feature of AntMyERP will ensure that you do not miss out on any alerts. However, it is mandatory to make sure that you go through the latest TRAI regulation before setting this feature to abide by the character limit on otp.

 

Setting up SMS 

Navigate to the left menu > Settings > Settings.

Under the Preferences tab, check the Active SMS box.

Click on Update.

Configuring this will enable all the alerts to come on your phone that you have entered under the Basic tab of Company Settings.

After that, 

Navigate to the left menu >Settings > Templates > SMS > SMS Settings.

Enter all the details.

Click on Update.

 

Viewing Automated SMS Templates

Navigate to the left menu >Settings > Templates > SMS.

All SMS templates will be displayed here. 

You can check the Active checkbox to make it active.

 

Multiple Branches

Understanding Multi Branch

If an organization has multiple branches, it has its own set of challenges while working alongside those. There are challenges in managing the database and other things related to the business. AntMyERP helps you set up details and other data related to your multiple location business.

 

Settings

Navigate to the left menu > Settings > Settings.

Under the Preferences tab, enable the checkboxes Multi Branch and Stock Location.

Click on Update.

 

Setting Up Multi Branches

Navigate to the left menu > Settings.

It will take you to the Company Setup page.

Click on Actions > Edit.

Go to the Branch tab and click on the plus button on the top right hand corner to add a new branch detail.

Enter the mandatory details.

Click on Save.

As soon as it is saved, it will be visible in the Branch index page.

 

Note: Branch type should be Sub Only.

 

Setting Up Locations

Now, in case there is a branch which has multiple locations, you will need to create a separate record for that. To do that, 

Navigate to the left menu > Settings.

It will take you to the Company Setup page.

Click on Actions > Edit. 

Go to the Location tab and click on the plus button on the top right hand corner. 

Enter the details. Click on Save.

As soon as it is saved, it will be visible in the Location index page.

 

Note: Location type should be Sub Only.

Multi Currencies

Understanding Multi Currency

A business can have a varied range of customers, across the globe. This makes dealing with multi currency a challenging task. At AntMyERP, we help our customers deal with multi currency accounting with ease.

 

Settings

Navigate to the left menu > Settings.

Click on Settings.

Check the Multi Currency box.

Click on Update.

 

Using Multi Currency 

Navigate to the left menu > CRM Sales  > Customers or Vendors.

Select the customer or vendors who deal with multi currency payment. Scroll to the right and click on Action> Edit.

Select the required currency from the Currency dropdown.

Click on Save.

Note: Once the currency is set, it cannot be changed.

After the customer currency is started, go to the Quotation page to give a Proposal.

Navigate to the left menu > CRM Sales  > Quotation

Click on the plus button on the extreme top right corner and select the quotation that needs to be given. For example, a sales quotation is selected.

Once the customer name is selected, the currency set appears along with the current rate in the market going on.

Enter the other details and click on Save.

Note: The same steps can be applied for Vendor Purchase Order.

Also, Multi currencies are used in other modules of ERP like CRM Sales, Purchase Order, Invoices.

 

Users, Roles & Permission

Understanding User Roles

An organization has various departments and employees with different roles. For any organization using ERP, it becomes essential to give access to the employees only depending on their roles and responsibilities. AntMyERP helps you in user management and sets accurate permissions for them.

 

Setting Permissions

Navigate to the left menu > Settings > Users & Roles.

All the users will be displayed here. The name of the user, the email address, the super admin access, their respective group, status and creation date will be listed.

Search the name of the user you wish to grant permissions to.

Go to Action > Edit. 

All the permissions of ERP will be shown under the Permissions tab.

Select the module you wish to give permissions to or you can just search the keywords using Ctrl+F.

Select the Allow radio button to give the permissions. If you select the Inherit radio button, it will make it invisible from others. 

You can see all the permissions given under the Admin tab.

Click on Save.

 

Note: The user having Super Admin permissions has access to the entire ERP system. For different roles, there are different permissions related.
