Understanding Sales Activities

Sales Activities occur when a customer is assigned a technician/ employee. All the activities performed by the employee can be recorded once they are mapped with a customer on ERP.

 

Settings

Navigate to Settings > Sales.

Check the Mapped Account box under the Sales Preferences tab.

Click on Update.

 

Mapping an Account

A customer needs to be mapped with an employee or multiple employees . Let’s look into the steps for the same.

Navigate to Left Menu > CRM Sales > Customers.

To map the unmapped customers, go to the Customers tab.

Right click on the desired customer name and select Edit from the drop down.

Scroll down to the Manage By field and enter the name of the employee to be assigned.

Click on Save.

After saving, go to the Contacts page. Here it can be seen which employee is coordinating with which customer.

Scroll to the Right> Action> Edit.

In the Contacts pop up window that appears, check the Business Opportunity box. After this itself, it will be shown under the mapped account.

Click on Save and Exit.

Now it will be shown under a mapped account.

Note: You can add multiple employees to the same customer.

 

Viewing a Mapped Account

Navigate to Left Menu > CRM Sales > Customers.

The customer listing would be done under the Customer Index page.

Click on the Mapped Account tab. The details about who is mapped with whom will be shown.

 

Sales Activities

Navigate to Left Menu > CRM Sales > Customers.

The customer listing would be done under the Customer Index page.

Click on the Mapped Account tab. 

Under the field below Employee, enter the name of the employee for whom you want to see the sales activities.

Click on Action> Activity.

The following details will be displayed in the Activity page.

Expense – The amount spent by the employee on the customer activities.

Time Spent – The time spent by the employee on the customer activities.

Emails – Emails can be directly sent to the customer from here, if the email id is configured.

Meetings – Meetings can be created.

Notes – Any important note captured by the employee.

Calls – Calls made on customer activities either by the employee or the customer.

Tasks – Tasks assigned to the employee related to the customer activities.

Note: The management can guide the employee and can check the performance of the employee through this feature.

Understanding Sales Activities

Lead for Purchase

Understanding Lead for Purchase

A “Lead for Purchase” is an opportunity for a Supplier for New Business for New Product or service requirement. 

 

Setting for Lead for Purchase

To enable the “Lead for Purchase” feature, you must have super admin privileges or the necessary permissions.

To initiate the “Lead for Purchase” 

Navigate to Settings.

Click on the third icon and select “Purchase.”

You will Land on Purchase Preference Page or Navigate to the Left Menu> PurchaseClick on Vendor

You will land onVendor Listing Page

Now go to the Top Right Menu navigate to Three Dot Icon 

Choose “Purchase Preference.”

In Purchase Preference page check mark the box next to “Lead for Purchase” and then click on “Update to save your changes.

The Purchase for Lead option will now be visible in the Purchase module.

 

Permission Required for  Lead for Purchase

To Add or upload or edit the “Lead for Purchase” feature, you must have super admin privileges or the necessary permissions.

To initiate the “Permission 

Navigate to Setting

Click on Users and Roles

Search the user or group

Click on Action icon against the user or group and select Edit

Go to permissions and allow permission for below

Manage Ticket List

Create Purchase Enquiry

Edit Ticket 

View Ticket

Manage Purchase Lead List (View All the Leads for Purchase)

Show Only Self Created Purchase Lead (View Only self created Leads for Purchase)

Show Only Self Owned And Hierarchy Wise Purchase Leads (View  self and Hierarchy Leads for Purchase)

 

Adding a New Lead for Purchase

Adding a New Lead for Purchase in AntMyERP is simple! You just need to input in their important information into one place. Here’s what you do.

You can add Lead for Purchases in two ways

Manually creating a Lead for Purchase from the Lead for Purchase Listing Page or Quick Add

Importing Lead for Purchase

 

Manually Creating Lead for Purchase from the Listing Page

Navigate to the  Left Menu > Purchase > Lead for Purchase 

You will land on Lead for Purchase Listing page.

Click the + Icon button on the top right corner of the page.Start filling the Lead for purchase form

Please enter all mandatory fields Such as Requester name,Branch,Assignee Name Priority and Title along with all the details of your Lead for Purchase. Please note that all fields marked in red are mandatory and must be filled.

After entering all the details, click Save. Ticket for Lead for Purchase will be generated.

Productivity Tool: You can add Lead for Purchase from the Quick Add icon on the top directly

 

Importing Lead for Purchase 

Navigate to Left Menu > Purchase > Lead for Purchase 

You will land on Lead for Purchase Listing Page

On Top Right Menu navigate to Three Dot Icon > Import

Read Instructions and Click Download Sample File  for your reference by clicking sample file.

Note: You can upload 50 Lead for Purchases at a time. 

 

Exporting Lead for Purchase 

You cannot Export the Lead For Purchase in Excel or Any format from AntMyERP

 

Deleting Lead for Purchase

Please note : you cannot delete a Lead for Purchase once added in AntMyERP. You can Lost or Disqualify that Lead

 

Action on Lead for Purchase

 

Edit

Navigate to Left Menu > Purchase > Lead for Purchase 

You will land in Lead for Purchase Listing Page

Locate the Lead for Purchase in the Lead for Purchase list and click on the Edit option from the Action dropdown menu. Alternatively you can Right Click on the Lead for Purchase whom you want to Edit and select.

Make the necessary changes to the Lead for Purchase Tickets.

Save the updated information.

 

Followup

A lead is classified as a follow up when the vendor asks to be contacted at a later date. 

Navigate to Left Menu > Purchase > Lead for Purchase 

You will land in Lead for Purchase Listing Page

Locate the Lead for Purchase in the Lead for Purchase list and click on the Follow up option from the Action dropdown menu. Alternatively you can Right Click on the Lead for Purchase whom you want to Follow up and select

Enter  the Follow up date and time and click Save. This will be reflected under the Follow up option under the Lead for Purchase Tab.

 

Lost 

Lost lead” refers to a potential sales opportunity that did not materialize into a successful sale. This can happen for various reasons, such as the prospect deciding not to purchase, choosing a competitor’s offering, or encountering budgetary constraints

 Navigate to Left Menu > Purchase > Lead for Purchase 

You will land in Lead for Purchase Listing Page

Locate the Lead for Purchase in the Lead for Purchase list and click on the Lost option from the Action dropdown menu. Alternatively you can Right Click on the Lead for Purchase whom you want to Lost and select

select the reason for loss and enter the Remarks and then click on Save. This will be reflected under the Lost option under the Lead for Purchase tab. A Lead  cannot be retrieved, once it’s categorized as Lost.

 

Qualified

A lead is qualified when the  pricing and other terms are accepted. This is done in the following manner:

Navigate to Left Menu > Purchase > Lead for Purchase 

You will land in Lead for Purchase Listing Page

Locate the Lead for Purchase in the Lead for Purchase list and click on the Qualified option from the Action dropdown menu. Alternately you can Right Click on the Lead for Purchase whom you want to Qualify and Select

Enter details such As lead type Lead Funnel,Product and lead and save.This will Reflect in the Lead for Purchase List

 

Future

“Future lead” might refer to a potential sales opportunity that is anticipated to arise at a later date

Navigate to Left Menu > Purchase > Lead for Purchase

You will land in Lead for Purchase Listing Page

Locate the Lead for Purchase in the Lead for Purchase list and click on the Future option from the Action dropdown menu. Alternatively you can Right Click  on the Lead for Purchase whom you want to add in Future and Select.

Enter  the Future date and click Save.  This will be reflected under the Future option under the Lead for Purchase.

 

Disqualified

A “disqualified lead” refers to a potential sales opportunity that has been determined to be unsuitable for further pursuit or conversion into a customer. This determination is typically made based on specific criteria such as mismatched needs, budget constraints, or disinterest.

Navigate to Left Menu > Purchase > Lead for Purchase 

You will land in Lead for Purchase Listing Page

Locate the Lead for Purchase in the Lead for Purchase list and click on the Disqualified option from the Action dropdown menu. Alternatively you can Right Click  on the Lead for Purchase whom you want to add in Disqualified and select.

Select the reason for disqualification and click on save .A Lead  cannot be retrieved, once it’s categorized as disqualified. This will be reflected under the Disqualified  option under the Lead for Purchase.

 

Purchase Lead Expected order

Purchase Lead Expected Order”  indicate an anticipated order resulting from a purchase lead on that particular date.It suggests that a lead generated interest in purchasing a product or service, and an order is expected to be placed as a result of that lead. 

Navigate to Left Menu > Purchase > Lead for Purchase 

You will land in Lead for Purchase Listing Page

Locate the Lead for Purchase in the Lead for Purchase list and click on the Edit option from the Action dropdown menu. Alternatively, you can Right Click on the Lead for Purchase whom you want to Edit and Select.

Add the Order Expected Date and save

This will reflect on Vendor>Report>Purchase for Lead Order Expected

Understanding Purchase Invoice

A purchase invoice is like a shopping receipt you get from a store. It’s a paper or digital document given by the seller that lists all the important details of your purchase. This includes things like a special invoice number, what you bought and how much it cost, any taxes you need to pay, and when the payment is due. It’s an important record for things like keeping track of money spent, paying taxes, and managing what’s in stock.

 

Permission for Add a New Purchase Invoice

For adding a purchase invoice you must have super admin privileges or the necessary permissions.

To initiate the “Permissions” 

Navigate to Settings 

Click on Users and Roles

Search the user or group to whom you want to give  permission.

Click on Action icon against the user or group and select Edit

Go to permissions and allow permission for the  below

  • Manage Po List
  • Show Only Self Created PO (for Viewing Select Created Purchase Order for AMC)
  • Create PO
  • Edit PO
  • View PO
  • View PO Stage
  • Delete PO
  • Create Invoice
  • Edit Invoice
  • Delete Invoice
  • Show Invoice
  • Manage Invoice Actions

Click on Save and exit.

 

Add a New Purchase Invoice

Note: Please note Purchase invoice against the Purchase order can be added only after Both the GRN is Completed

Navigate to Left Menu > Purchase > Purchase Order 

You will land on Purchase Order Listing page

Go to Pending invoices Tab

To upload invoice

Right-click or click under the action button and select Invoice.”

Click on the ‘+ sign at the top right.

Enter the Invoice number, invoice date, and amount, ensuring they match the specified criteria.

Upload the copy of the Vendor invoice.

Click onSave to finalize the invoice creation

Please note all red mark fields are mandatory and need to fill.

You can also upload a partial invoice with the same Process

 

View the Purchase invoice

Navigate to Left Menu > Purchase > Purchase Order 

You will land on Purchase Order Listing page

Go to the Contracted Tab and Locate the purchase order number.

Right-click or click under the action button and select Invoice.”

You can view the Invoice and if you’re authorized you can approve or reject the invoice also.

 

Editing and Delete Purchase Invoice

Please note that once the purchase invoice is uploaded, it cannot be edited or deleted. If necessary, you can reject this invoice from the Finance Module and then reupload the corrected version

 

Rejecting a Purchase Invoice

To Reject a Purchase invoice

Navigate to Left Menu > Finance >Sales invoice 

You will land on the Finance Module

Navigate to Left Menu >Invoice >Purchase invoices

You will land on the Purchase invoice Listing page

Locate the Purchase Invoice number in the Pending Invoices Tab

Click on the Reject Tab on the Right and mention the Reason for Rejection

This Purchase Invoice will now show in the Rejected invoices Tab .
