How to use Email Templates?

 

Using Email Templates with AntMyERP

AntMyERP makes it easy to automate and customize communication through Email Templates. These templates can be used for multiple purposes for instance, when a call log is added, an email is automatically sent to the customer. Similarly when a ticket is raised or resolved the system automatically notifies the customer that their issue has been addressed.

To set up an email template first go to Settings on the left hand side and select Template. Here, all existing email templates will be visible. Before using them, you need to configure SMTP settings this enables the system to send emails. Enter details such as Host Name, Port Number, Username, Password and the Sender’s Email Address. Once configured then activate the email by enabling SMTP.

Next, go to Settings again and check the boxes for Active Email and Manual Email.

Active Email means emails will be sent automatically based on system triggers (like ticket creation or issue resolution).

Manual Email allows users to send emails directly from the system when required.

Under the Template section, you’ll see a list of all email templates for instance, notifications for part requests, vendor communication, service call logs or ticket updates. Each template shows key details such as Coordinator Name, Call Number, Customer Name and Serial Number.

You can edit any template, modify its content, or disable unnecessary ones by simply unchecking the box. For example, if a customer should not receive emails for toner call logs, deselect that specific option.

Each email includes a ticket link, company logo, and contact details for a professional appearance.

With AntMyERP’s Email Template feature, you can streamline customer communication ensure timely updates and maintain consistency across all service interactions.
