How to manage Quotations Authorization?
Setting Up Proposal Authorization and Approval with AntMyERP
With AntMyERP, you can control how proposals and quotations are reviewed before being shared with customers through the authorization and approval system.
To set it up, go to Settings on the left panel, then open the Sales Module. Under Quotation Preference, enable the Approval System. Once activated then you’ll be able to view both Pending and Accepted Quotations.
Next, click the three dots on the top right → Sales Settings → Quotation → Quotation Preference. Scroll down to find the Approval System section, click Quotation Approval, and Update it. Once saved, go back and open Proposal Authorization to define how proposals will be approved.
You can configure authorization in three ways:
- Default – Assign specific employees who must approve every proposal.
- Product Category wise – Set different approvers for each product category.
- Business Type wise – Define approvers for each business line (the system supports up to seven types).
Add approvers and specify whether one, two or all of them must approve the proposal before it moves forward. Until the required approvals are received the salesperson cannot share, download, print or email the quotation to customers.
Once approvals are complete the quotation appears in the Pending Quotation Index View thus showing its updated status as authorized or rejected.
