How to approve a Spare Part Request?

 

In this video, we’ll show you how to approve a spare part request raised by an engineer from the field service team.

When an engineer attends a service call through the mobile app and identifies the need for a replacement part, they can submit a spare part request directly from the field. Along with this, the engineer uploads the customer report for reference.

To begin the approval process, go to the Service Module on the left hand side and click on Request Spare Part.
In the Pending Requests section you’ll see all spare part requests that are awaiting approval. Click on Spare Part Request Pending to open the index view.

Here, you can view key details such as ticket number, date, coordinator, customer name, branch, product name, required part, quantity, part number and serial number (whether the part is with or without serial tracking). The current status of each request will also be shown as pending.

Click Action to either Approve or Reject the request.
If the request is rejected then enter the reason for rejection in the comment box and click Save.
If it’s approved then the system will ask whether the spare part is chargeable or non-chargeable.
For chargeable approvals then select the contract number or add a quotation reference.
If it’s non chargeable then the system automatically links the approval to the existing service contract.

Once approved, the pending parts will move to the order section where all engineer part requirements can be tracked. You can also use the Manage Column option to customize or reset the visible parameters as per your needs.
