Renewing client contracts can often be a time-consuming and error-prone process — especially when businesses lose track of contract or warranty expiry dates. AntMyERP simplifies this entirely by automatically tracking contract timelines and alerting you before they expire, ensuring that you never miss a renewal opportunity.

To renew a client contract, go to CRM Sales → Reports → Renewal Contract. Here, you’ll find a Renewal Contract Report displaying all contracts that are nearing expiration which is visible 60 days in advance. For example, if a sales contract with VKS Group is set to expire on August 31 then AntMyERP highlights it early so you can reach out to the customer before service or warranty lapses.

This proactive system helps you convert expiring sales contracts into AMC (Annual Maintenance Contract) opportunities, ensuring continued revenue and customer retention. If it’s already an AMC contract then you can easily follow up and renew it by clicking Renew and extending the period.

If no action is taken, the contract status changes to Renewal Expired, meaning support cannot be offered until renewal. Even then, the customer can be contacted again for renewal. If they decline, you can terminate the contract, which then goes for management approval. Management can attempt to retain the client and if successful, the contract is renewed; if not then termination is approved. Any demo or loaned items linked to that contract are automatically added to the pickup list, ensuring complete follow-through.

Additionally, AntMyERP lets you track contracts device-wise, identifying which device warranties are expiring by serial number. You can also automate email reminders, setting notifications to be sent 5, 10 or 20 days before a contract ends thus keeping both you and your clients informed in advance.
